Renewed and paid?Start with membership expiry dates, then review the related renewal invoice and payment information. Keeping these steps connected helps your team explain what has been prepared, what still needs review and which members require follow-up.
Begin with the upcoming term list
A weekly renewal review needs a clear starting point. In FewaOMS, the renewal dashboard includes memberships ending within 30 days alongside overdue terms. Use the upcoming view to prepare follow-up before a term expires and the overdue view to discuss memberships whose terms have already ended.
Decide who will review each group and when the team will revisit it. These are committee working arrangements; the dashboard gives the team a reference rather than deciding the organization’s membership rules. Check the actual term dates before writing a reminder so the message describes the member’s situation accurately.
Check what has happened to the invoice
Before contacting a member about dues, review whether a draft or issued renewal invoice exists. An invoice under preparation and an invoice that has been issued describe different points in the process. Explain that distinction to everyone handling member questions so follow-up does not rely only on a name in a list.
The renewal dashboard presents invoice status with the term information. Use the existing renewal process when moving work forward. If your team discovers an unexpected amount or a missing record, ask the responsible administrator to resolve it before sending a message that the member may treat as a confirmed demand.
Review the submitted payment information
A member may submit payment information before the administrator has completed its review. FewaOMS keeps membership invoice records and payment information connected so the responsible team can consult both. Follow the organization’s review process and use only the payment channels configured for it.
When a member asks whether dues have been received, locate the relevant invoice and the recorded payment instead of relying on a forwarded message. Record the question that remains unresolved and ask the person responsible for review to check it. Payment information and a completed review should be explained according to the actual record.
Use totals as a starting point for questions
Pending payment counts and recent paid renewal totals help the team understand the renewal dashboard’s current position. Review the individual records behind a question before describing a member’s renewal as finished. A dashboard total is a useful overview, while the member’s term, invoice and payment provide the detail.
Prepare a short meeting note identifying upcoming renewals, overdue terms and payment reviews that still need attention. Keep the note focused on actions and unresolved questions. Avoid combining these groups into one general label that hides whether the next action belongs to the member or the administrative team.
Prepare a clear follow-up message
Tell members which renewal period you are discussing, what action is needed and where they can ask for help. If your organization uses Bulk SMS, select the intended member group through membership type and state filters and prepare the message before queuing a batch through the configured SMS service.
Sending a reminder does not replace invoice review or establish that a member has read the message. Revisit the membership and payment records after follow-up and check which questions remain open. Ask for a demonstration of the renewal and payment workflow your organization will use, because availability and channels depend on its setup.
